Shiny, Happy Browser

I’ve been a Mozilla Firefox Web browser fan for quite some time. Furthermore, I’m a big fan of Mozilla Thunderbird for Email (and Lightning, its faithful open-source calendar companion).

Within the past year, I’ve also grown to appreciate Safari. However, Google Chrome has been my browser of choice for several months. In fact, Chrome is now my default browser on all my computers. According to this article, I’m not the only one.

It could just be personal preference or how I use the Internet, but I feel that Chrome gives me the best performance and speed. I like Chrome’s single address/search field, clean button bar, and plenty of real estate for the site I want to view.

(Stop and Smell the) May Flowers?

Is anyone else surprised that it’s already the 5th month of 2010? As I flipped my calendar, I realized that we’ve already experienced blizzards (that’s plural for anyone in the sun belt!), a prolonged electrical outage, temperatures in the single digits, temperatures approaching 90 F, and severe thunderstorms.

You know what they say about Pennsylvania weather: if you don’t like it, wait ten minutes and it’ll change.

May also marks CAU’s first HME software release back in 1987. May 11th, to be exact.

As I considered that milestone, I realized that I’ve been with CAU longer than any other employer. And I entered the workforce at age 15.

Of course, it doesn’t take much to outlast stints in broadcasting. My colleagues and I used to award each other prizes for most W2s!

I overlapped a little, starting at CAU at the very beginning of 2000 while my partners and I didn’t officially sell our radio stations until the first half of 2001. We were still having fun, but we predicted that competition for audience (satellite radio) and advertising revenue (Internet) would soon erode our regional market share.

And that memory allowed me to reminisce a little more. Our brand new FM station flooded the airwaves for the very first time during May more than 20 years ago. I’ll never forget any detail of that sign-on day!

Now here’s my point (finally): try to make every day a memorable day. Don’t flip the calendar and lose months as just a blur. Slow down enough to live in the moment, appreciate your relationships, and savor each experience. Enjoy!

Native Web Software Secret

PECOS Database Management: just another Web Edition freebie enhancement that our clients absolutely love! Select an existing physician from the smart lookup or add a new Doctor automatically from the NPPES database.

At the top of the "State & NPI Numbers" page, click the "Lookup from PECOS" button to automatically match the selected doctor’s NPI against the PECOS enrollment database.

If the physician is PECOS enrolled, the physician will display in green on all lookups. Plus, "PECOS Enrolled" will display in green in the Doctor file and in Order Entry when the enrolled physician is selected as the prescribing physician.

No need to download the huge PECOS database PDF and reference each physician manually. We built this handy feature right into Web Edition for you.

Special Delivery

Here’s another perspective on setting your company above what a competitor can do. What do you offer your DME customers? The same or similar products as your competitor? So, how do you differentiate your company from the competition?

Maybe you’re thinking, “But look at the vast differences between our ‘XL3000′ and their cheap imitation. Potential customers will see right through that ruse.” Maybe so, but probably not.

Remember that you’re much more educated regarding the “XL3000.” Many potential customers may not get excited over those advantages.

Don’t worry. You’re not alone.

We, as an HME software partner, we face the same challenges as you. Some HME providers believe “all the software vendors do the same thing. As long as I can bill and get paid, ….”

And we say, “Wait a minute. The differences among us are like night and day.” So we either need to educate you regarding those differences (until your eyes glaze over) or accept the fact that HME software is now perceived as a commodity, like toothpaste. I know I need toothpaste, but I’ll buy whatever’s on sale when I need it.

The downfall of that analogy is that my tube of toothpaste may last a couple of weeks. If I don’t like what I bought, I’ll grab another brand next time.

HME software, which is critical to the management of your business, isn’t practical to purchase every couple of weeks. One owner once likened switching software to “having a fire.”

PECOS Simplified

If you bill Medicare, by now you’re painfully familiar with ineligible ordering/referring provider edits. Medicare requires that for you to receive payment for providing medical equipment, the ordering or referring doctor must be enrolled with Medicare’s Provider Enrollment, Chain and Ownership System (PECOS) system.

Right now, Medicare’s ineligible ordering/referring provider edits just alert you to a potential problem. However, on April 5, Medicare will begin rejecting claims if the ordering or referring doctor hasn’t enrolled in PECOS.

So what can you do? If you use CAU’s HME software, the answer is "take a deep breath and relax." We’ve got you covered.

Relating to Customers

If you’d like to take up sky diving, would you feel comfortable investing in equipment and lessons from someone who has never jumped? Would you hire Jay Leno to anchor the evening news?

How well does your customer service team relate to your target customer, and therefore, represent your brand? You may take on an energetic teenager as part-time help in the warehouse, but would you also allow him or her to recommend bath aids or lift chairs on your show floor?

Think of the subtleties of the telephone, too. Have you ever called your business and objectively listened to how you’re greeted? That could be a lasting first impression for a new caller.

These customers (or potential customers) have made a conscious decision to contact your HME business. They will have expectations, whether it’s their first contact with you or the 50th.

Some customers are all business; others like to chat. Some know exactly what they want or need; others prefer another trusted opinion.

Put square pegs in square holes; round pegs in round holes. If you have the luxury, match compatible personalities of employees with those of customers. Many of our clients assign employees to specific customers within our HME software.

Personally greet as many customers as you can, even if it’s for a moment. Remember, you and your employees are your front lines for relating to your customers. Be certain that each interaction consistently meets your standards, and more importantly, your customers’ expectations.

The Call (Up)

Every minor league baseball player dreams about getting called into the manager’s office. “You wanted to see me, Skip?”

“You’ve worked extremely hard, Son. And now you must catch a flight. Our major league team needs you in uniform for tonight’s game.”

There’s a reason why, with only very rare exceptions, amateur players don’t begin their careers in the major leagues. Players need seasoning, repetition and professional experience at several minor league skill levels before they’re ready to perform at the top.

The same theory exists in our business. If you hire a biller with no HME experience, that person would require multiple layers of education before you could turn her or him loose with your cash flow on the line.

On the HME software side, we start our customer service people in rookie ball. They must work their way up before we ever allow them “in the majors” to pick up the phone and speak with you.

Fortunately, we employ HME-seasoned folks. Some even have user experience with our HME software. These customer service people offer an extremely valuable and unique perspective to our clients.

When you’re hiring, consider who’s been touched by our industry. You may even find that one of your customers would enjoy coming on board with you.

New Revenue Streams – Commercial Orders

We’ve discussed retail sales as an additional revenue stream over the last two posts. Now, let’s talk about another potential opportunity for you to increase revenue: commercial sales.

Consider nearby physicians’ offices, skilled facilities such as nursing homes and rehabilitation centers, home health agencies, or even pure retail stores. Many of these businesses don’t have a relationship with the manufacturers or distributors that you may have; therefore, it may be more convenient for them to purchase products like walkers, crutches, and medical supplies from you.

The key to successful commercial orders is to enter them in your HME software just as you would third-party orders or retail sales. That way, you’re working in one inventory, one database of customers, and one reporting system to track your revenue and manage your business.

Commercial orders aren’t nearly as complex as third-party orders, yet aren’t as simple as retail sales. You should be able to add a commercial order using only the criteria you need. Process the order, ship or deliver it, and get the invoice to your commercial customer as quickly as possible!

Distribution software will easily handle commercial orders for you, but good luck trying to manage Medicare capped rentals and CMNs with any distribution software solution. You need your HME software to add a simple order for “Springfield Nursing Home.”

Once you’ve added the order and printed whatever shipping/delivery documents you need, why would you want to print and mail an invoice? You should be able to Email the invoice as an attachment directly from your HME software.

Just as you can in QuickBooks®, add your own memo lines, cc your Email address as proof of receipt, and get paid faster without ever printing an invoice, stuffing an envelope, or paying postage. (Since there’s no patient protected health information or PHI on a commercial order, there’s no HIPAA-based restriction for Emailing the contents of your commercial invoice.)

Again, your goal of increasing revenue shouldn’t be hampered by separate software products. Your HME software reports your total revenue including commercial orders, your salespersons’ performance and commission, and inventory costing. You can manage it all in one system.
